💼 Email for Coaches

Email Marketing for Coaches Who Actually Want Clients

Your list isn't a broadcast channel. It's your pipeline. We build email systems that move people from "just browsing" to "take my money."

The Problem Most Coaches Have

You built a list. Maybe 500 people, maybe 5,000. You send weekly emails. Some people open them. Nobody books a call.

The issue isn't your offer. It's not your coaching. It's that your emails aren't doing the one job they exist to do: move people closer to hiring you.

What's Actually Broken:

  • ×Your welcome sequence dumps everyone into a weekly newsletter instead of nurturing them
  • ×You're afraid to sell, so your emails are all value and zero CTA
  • ×People who downloaded your lead magnet never hear from you again
  • ×You have no clue who's warm, who's cold, or who's ready to buy

What We Build for Coaches

Welcome & Nurture Sequences

Someone joins your list. They get 5-7 emails over the next 10 days. By email 7, they either book a call or they know they're not ready yet. Either outcome is better than "weekly newsletter forever."

We map your customer journey, write the sequence, and build it in your ESP. Each email has a job: build authority, handle objections, create urgency, get them to the booking page.

Launch Campaigns

Course launch, program opening, new cohort. You need a sequence that converts without sounding desperate. Most coaches send 3 emails and give up. We build 8-12 email launch sequences that work.

Pre-launch warmup. Cart-open sequence. Mid-cart nudge. Last-call urgency. Post-close follow-up. Every stage has a purpose. We've run this 30+ times for coaches. We know what converts.

Segmentation & Tagging

Not everyone on your list is at the same stage. Sending the same email to cold leads and warm prospects tanks your conversions.

We set up behavioral tagging (who clicked what, who downloaded which lead magnet, who visited your sales page). Then we segment your campaigns so warm leads get warm content and cold leads get nurture content. Conversion rates go up 40-60% just from this.

Webinar & Challenge Funnels

Running a webinar or 5-day challenge? The email sequence around it is what makes or breaks conversion. Reminder emails, replay sequences, no-show follow-ups. All of it matters.

We build the full funnel. Registration confirmation. Pre-event warmup. Day-of reminders. Post-event pitch sequence. Replay for no-shows. Cart-close urgency. Every touchpoint optimized to move people toward the sale.

Why coaching lists break the usual rules

Most email marketing advice is written for stores selling $40 products, where you need volume for the numbers to work. Coaching inverts that. You are selling a high value engagement, so a list of 500 engaged people in the right niche can support a practice. Two clients a month at $3,000 is $72,000 a year from a list most guides would tell you is too small to bother with.

That changes what to optimise. Chasing subscriber count is usually the wrong move, because a bigger list of the wrong people lowers your engagement rate and gets you filtered. What matters is the conversion rate from subscriber to booked call, and almost nobody measures it.

It also changes the tone. eCommerce email can be transactional because the product does the persuading. Coaching email has to build enough trust that someone will hand you a meaningful amount of money based largely on how you write. That is why the nurture sequence carries most of the weight, and why a weekly newsletter with no path to a call is such an expensive habit.

When you should not hire us

If you do not have an offer people have already paid for, email will not fix that. A sequence can only make a good offer visible to more of the right people. It cannot make an untested one work, and building the machinery first is a common and expensive way to avoid the harder question.

If you have under a few hundred subscribers and no lead capture, the constraint is traffic and not email. Fix the capture, write consistently for a few months, and the sequence work will be worth doing on a list that actually receives it.

And if you enjoy this work, a welcome sequence is genuinely something you can build yourself in a weekend. The parts that reliably need outside help are the launch sequence, where the stakes are concentrated into two weeks, and the diagnosis when something that should be converting is not.

❓ FAQ

Coaching questions we get asked

How do coaches actually get clients from email?+

By having a sequence whose job is to end in a booked call, rather than a weekly newsletter that ends in nothing. Most coaches have the second one. Someone joins the list, gets a lead magnet, and then receives general value emails forever with no path to working with you. The fix is a five to seven email nurture sequence that builds authority, handles the specific objection that stops people hiring you, and asks for the call.

How big does my list need to be?+

Smaller than you think, because you are selling a high value service rather than a $40 product. A list of 500 engaged people in the right niche can support a coaching practice. Two people a month booking a $3,000 engagement is $72,000 a year from a list most people would call too small. Conversion rate matters far more than list size here.

How often should I email my list?+

Weekly, consistently, is the right default for most coaches. The failure mode is not frequency, it is silence followed by a launch. If your list only hears from you when you are selling something, the open rate on the selling emails is exactly what you would expect.

What should a coaching launch sequence look like?+

Eight to twelve emails, not three. A pre-launch warmup that makes the problem vivid, a cart-open announcement, then emails that each handle one objection: price, time, whether it works for someone like them. A mid-cart nudge, a genuine last-call, and a post-close follow-up for the people who did not buy. Most coaches send three emails and conclude their list is dead.

I feel uncomfortable selling to my list. What do I do?+

This is the most common single problem and it shows up as emails that are all value and no ask. The reframe that works: if someone joined your list about a problem you solve, not telling them how to get help is worse service, not better manners. The practical version is that every nurture email should have one clear next step, and roughly one in four should ask directly.

Do I need webinars or challenges?+

Only if you will run them consistently. A webinar funnel converts well and it is also a lot of machinery: registration, reminders, day-of sequence, replay for no-shows, cart-close urgency. Run once and abandoned, it earns nothing. If you will commit to a cadence, it is one of the strongest formats for coaching. If not, put the effort into the nurture sequence instead.

What platform should a coach use?+

ConvertKit or beehiiv for most solo coaches, ActiveCampaign if your sales process is genuinely complex and needs conditional branching. Klaviyo is built for stores and is the wrong shape for a service business. The platform matters much less than whether the sequences exist at all.

How do I know if my email is working?+

Booked calls, not open rates. A 60% open rate that produces no enquiries is a vanity metric. Track calls booked per hundred subscribers per month, and the conversion rate from your nurture sequence specifically. If you do not know which email in the sequence is producing calls, that is the first thing to instrument.
